What makes running a youth football club different

A youth football club is not a miniature adult club. It's an ecosystem where the season kicks off every August with a registration sprint, where a single family can have three kids split across U8, U10 and U14, where half of the critical communications (rain, pitch change, match postponed) need to reach 200 parents in 10 minutes via WhatsApp, and where any tool that doesn't account for minors ends up creating safeguarding issues before the season ends.

Most youth football clubs in Spain still run on a 47-tab Excel sheet, a Telegram group per team, manual bank transfers and a drawer full of paper federation forms. Every August the secretary spends three weeks reconciling registrations, losing receipts and chasing parents in arrears. Every away match someone is writing 30 messages to confirm who's going. And every category change forces three files to be updated by hand.

The legacy tools in the sector (Clupik, Playoff, Cluber) were built before Stripe and before smartphones were ubiquitous. They assume the parent signs a paper SEPA mandate, that each kid has their own account, that communication is top-down broadcast. There's a better way in 2026: native multi-child accounts, card payments like any modern app, and child safeguarding configured out of the box.

What OneClub brings

Built for clubs with minors, parents and categories

Six features designed specifically for youth football that you won't find in a generic tool.

Age categories per season

Configure your official categories (U7 to U19 or whatever your federation uses) and OneClub auto-assigns each player based on their date of birth. When August comes, you don't move 80 kids by hand from one category to the next; promotion is suggested and you confirm in one click.

Native multi-child: one family, one charge

A mum with three kids across three categories opens a single account in the portal, sees the three invoices on the same screen and pays the three fees with ONE card. You see the consolidated charge and the invoice goes to the head of the family. No competitor in Spain positions this flow as native; in Clupik or Playoff it's a patch of separate sheets.

Stripe-card payments: like paying on Amazon

Parents don't want to sign a paper SEPA mandate or wait 5 days for a payment to clear. They want to pay with a card, Apple Pay or Google Pay in 10 seconds, like everything else. OneClub uses Stripe-native: the parent pays instantly, gets the invoice by email and you see the payment in real time. If the card fails, automated dunning recovers 60-70% without anyone calling.

Team-based parent communication

Create per-team channels and broadcast messages from the coach portal in one click: weekend lineup, schedule change, rain. Parents receive push notifications + email (no need to install yet another app or sign up for another WhatsApp). Read receipts and centralised replies, without the chaos of a WhatsApp group with 200 parents.

Digital federation and medical record

Every minor has a digital profile with ID, photo, medical certificate, image-rights authorisation, regional federation form and legal guardians. Upload documents once, OneClub remembers expirations and warns in advance. End of season, archive everything in one click; no more cardboard drawers with paperwork you lose every August.

Built-in child safeguarding compliance

As a club working with minors, Spanish LOPIVI law requires a safeguarding officer, a written protocol, criminal background checks for staff and an incident registry. OneClub ships with that pre-configured: audit trail, staff background-check management, downloadable protocol and confidential incident reporting module.

Who it's for

Typical youth football setups

Three club profiles that use OneClub daily. Your case probably fits one of these.

Federated academy club

200-600 players across 8-20 teams, from U7 to U19. Federated league, weekend matches, multiple coaches, part-time admin. Needs structure by category, digital federation forms, match calendar and mass parent communication.

Football school without federated competition

100-300 kids in after-school football classes, without federated league play or only in local/school leagues. Critical: easy September signup, monthly recurring fees, parent communication and attendance tracking. OneClub lets you start with the free Starter plan (up to 50 members).

Mixed club with summer camps

Federated club during the season (September to June) plus intensive summer camps in July. Needs one-off registrations for the camp with single payment, monthly fees during the season and coordinated communication across both. OneClub manages both flows in the same platform without duplicating databases.

How it works in a youth football club

Typical flow from the moment you decide to try OneClub until the season runs on autopilot.

  1. 1

    Set up categories and season

Define the official categories you'll use (U7 to U19, mixed or by gender) and the season start date. OneClub generates the birth-year cohorts automatically.

  2. 2

    Create fee plans per category

Different plan per category (U10 €35/month, U17 €50/month…) or a single club plan. Automatic sibling discount (10%, 20%, 50% configurable) and annual-payment option with bonus.

  3. 3

    Open online registrations

Share a public signup link. Families register, upload the minor's documents (ID, photo, medical certificate) and pay the first fee by card. You review and approve from the dashboard.

  4. 4

    OneClub runs the season

Monthly fees on autopilot, parent communication per team, federated calendar, arrears control with dunning. You check the dashboard once a week with a coffee.

Real case
We migrated from an unmanageable Excel and three WhatsApp groups per team to OneClub in a week. The first month we already charged the entire club by card and stopped chasing parents. What changed our life the most: multi-child. A mum with three kids and a single monthly charge.
