What a tennis club runs every day that no spreadsheet can handle

A tennis club is rarely just one thing. A social club —members who pay an annual fee and book a court whenever they want to play— usually coexists with a school that groups students by level and charges a monthly fee. They are two businesses with different logic inside the same facility, and most boards run them with a spreadsheet for members, a WhatsApp group for court booking and another spreadsheet for the school. By the third week of the season, nobody knows who has paid what.

Court booking is where the chaos shows most. Without a tool, one member messages the group asking for court 3 on Thursday at 7pm, another asks at the same time, they clash, and on top of that there's the floodlight issue, which many clubs charge separately. Nobody tracks no-shows, or how many bookings each member has made this month, or whether the court was actually free. And charging for court use or lights by hand is simply unworkable.

Tennis school by level and group

Set up the school groups by level (beginner, improver, competition) and by age, each with its places, its assigned coach and its fee. When a student moves up mid-season, you move them to the new group and the fee adjusts from the next charge. Enrolments and drop-outs handled without paperwork.

Mixed fees: membership, school and class packs

The same person can pay the annual membership fee, the monthly school fee and a private-lesson pack all at once. OneClub keeps each line separate, charges it on its own cycle and groups it into a single clear invoice for the member. The club's finances see every income line separately.

Tournament registrations

Publish the tournament with its categories and draws, collect the entry fee online and manage the entrant list without notebooks or stray transfers. You can set one price for members and another for external players, close entries automatically and message schedules to everyone signed up from the platform itself.

Native payments and families

Members pay by card, Apple Pay, Google Pay or digital SEPA. If a family has the parent as a member and two children in the school, a single card charges every line and they get one grouped invoice, with a configurable family discount. Recurring billing with automatic retries when a card fails.

Communication with members, students and coaches

Each school group has its channel, and the club has general announcements for all members: court closures for rain, maintenance, schedule changes or a new tournament opening. Messages arrive by push and email with read confirmation, instead of getting lost in an overloaded WhatsApp group.
