Software for rugby clubs with academy, senior and community

OneClub runs the academy (U8, U10, U12, U14, U16, U18) and the male and female senior teams on a single platform, with focus on what makes rugby special: families, third half, away games and community. Not an Excel sheet with different names on it.

Why rugby is a special case in club management

Rugby in Spain is a small sport in number of players but huge in sense of community. A formative rugby club is not your average sports school: families know each other, parents play in the club's own amateur senior team, coaches are former players dedicating entire weekends, and everything that happens off the pitch (the third half, away tournaments, end-of-year dinners) is as important as what happens on it. Any management tool that only cares about charging the fee falls short.

On the other hand, rugby lives off rotating tournaments: every weekend there are trips to another city, several club teams travel at the same time, families coordinate carpooling and travel payments (bus, food, lodging) usually go separately from the monthly fee. Legacy tools (Clupik, Playoff) don't have a clear answer to this: either you charge a flat fee or you use Bizum, and by year-end no one knows who paid for what trip. OneClub treats away games as a first-class case: signup with single payment, list of seats with carpooling, and family communication for the third half after the match.

And then there's the federation form. The Spanish Rugby Federation (FER) has its own licence intranet, distinct from football or basketball federations, with specific requirements (photo, medical certificate, image-rights authorisation, player record with licence number). Amateur clubs typically keep a physical folder with paper forms and a parallel Excel where they note who needs renewing. OneClub digitises all of that: photo and documentation per player in their profile, renewal alerts in advance, and export ready to upload to the FER system.

What OneClub brings

Built for the community and logistics of rugby

Six features designed for formative and mixed base+senior rugby clubs, where the club is a second family and away games are the rule, not the exception.

Multi-category academy + senior male + senior female

Configure the official categories used by Spanish rugby: U8, U10, U12, U14, U16, U18 (academy) plus senior male and senior female. Each category is a team with its own coach, calendar and communication channel. The club manages the three worlds (academy, senior male, senior female) on the same platform with the same administrative logic.

Family communication for the third half

Rugby is probably the sport where family communication matters most, because after the match there's a third half and the social side is part of the product. OneClub lets you send messages to the team or club channel with the weekend plan: match at 11, third half at the club at 13, parents and families welcome. Push notification + email with read receipts.

Away-game management as a one-off event

Create each away trip (tournament in Barcelona, tournament in Valladolid) as an event with single-payment registration, max seats and options (bus, carpool, lodging). Families sign up from the portal, pay the relevant part by card and you see a consolidated list of who's going and who paid what. Goodbye to Excel sheets with handwritten ticks.

Digital FER form with renewal alerts

Each player has a digital profile with photo, ID, date of birth, medical certificate, image-rights authorisation and legal guardian data if a minor. OneClub remembers when each document expires and warns a month in advance. When it's time to renew the FER licence, you export the data in bulk ready to upload to the federation intranet.

Cross-account parent + adult player

In rugby it's very common for the parent to also be a player on the club's senior amateur team, which on other tools forces you to duplicate accounts. In OneClub, a single person can be a player (with their senior fee) and at the same time parent of an academy player (with the minor's fee), all from one account and one card. Consolidated invoice and configurable family discount.

Stripe-native, multi-child and automatic dunning

Parents pay the monthly fee by card, Apple Pay or Google Pay in 10 seconds. A family with two kids in U10 and U14 pays both fees with ONE card and gets the automatic sibling discount. If a card fails, automatic dunning recovers 60-70% without the treasurer calling anyone. Digital SEPA also available for those who prefer direct debit.

Who it's for

Typical rugby club setups

Three rugby club profiles that fit OneClub best. If your club looks like one of these, you'll save hours every week.

Rugby club with academy and male+female senior teams

100-300 players across 6-12 teams: academy from U8 to U18 (mixed or split by gender depending on category), male senior and female senior in División de Honor B, Primera Nacional or a regional league. Critical: family communication for the third half, away-game management, native multi-child and digital FER forms.

Formative rugby school

50-150 kids in formative programmes without a senior section or with a very informal senior team. Critical: easy September signup, monthly fee with sibling discount, family communication and management of one-off events (festivals, formative meetings). OneClub lets you start free with the Starter plan up to 50 members.

Amateur rugby club with linked academy

A historically senior-amateur club with a linked academy of 40-100 kids that's growing every year. Needs a tool that grows with the club, that doesn't force a migration every time it doubles in size and that handles both worlds well: the flat senior amateur fee and the recurring sibling-discounted fee of the formative academy.

How it works in a rugby club

The typical flow from the moment you open an account until the season is running on autopilot.

  1. 1

Set up categories and club sections

Define academy categories (U8, U10, U12, U14, U16, U18) plus male senior and female senior if applicable. Assign coach and team manager to each team with permissions. Create fees per category with their sibling discount.

  2. 2

Open registrations and digitise FER forms

Share a public signup link. Families register, upload the minor's documents (ID, photo, medical certificate, image rights) and pay the first fee by card. OneClub stores the data in a format ready to export to the FER intranet.

  3. 3

Set up calendar and away games

Upload your regional rugby federation matches into each team's calendar. Whenever there's an away tournament or fixture, create it as an event with single-payment registration and families sign up from the portal with automatic payment.

  4. 4

    OneClub runs the season

Monthly fees on autopilot, family communication per team and per club, updated federation calendar, away games managed and arrears control with dunning. The treasurer logs in once a month and everything is under control.

Real case
We run U8 to U18 plus amateur men's senior. Before OneClub, away games were chaos: WhatsApp, Bizum, Excel with surnames. Now every away game is an event in the system, families sign up and pay in 2 minutes, and I see the consolidated list. The third half I announce once on the club channel and it reaches everyone.
