What a swimming club needs and a spreadsheet doesn't give

Swimming has an intensity few sports match: groups train three, four or even six sessions a week, split by level —school swimming, beginner, improver, high-performance and masters— and often by lane within the same stretch of water. Knowing who attends each session isn't a luxury: it's the basis for justifying fees, spotting drop-outs and organising the lanes. And that never gets consolidated in a notebook at the poolside.

On top of that, almost every club runs two structures at once. On one side, the school or lessons, with a monthly or termly fee and heavy family turnover. On the other, the competition section, with federated swimmers, licences, categories by birth year, entries to meets and travel. Legacy tools treat the club as a broadcaster messaging everyone; in swimming that isn't enough, because each group and each category needs its own thread and its own call-ups.

Set up groups by level (school swimming, beginner, improver, high-performance, masters, adapted swimming), each with its schedule, its lane capacity and its fee. Every group has an assigned coach and its swimmer list, and you can move a swimmer between groups as they progress without redoing anything.

Per-session attendance tracking

The coach takes the register at each session from the app in seconds: present, excused absences and unexcused absences. OneClub keeps the history per swimmer, alerts you when someone drops below the threshold you set, and generates a monthly report per group for the board. Attendance stops living in scattered notebooks.

School and competition fees

Separate the monthly school fee from the competition levy (federation licence, entries to meets, travel). Each line is charged on its own cycle and grouped into a clear invoice. The finances show separately what comes in from the school and what comes in from the competition section.

Swimmers by category

OneClub builds the birth-year cohorts (pre-junior, junior age groups, youth, senior, masters) automatically and each season suggests who changes category. From there you send call-ups to meets and championships filtered by category, without cross-referencing lists by hand.

Native payments and multi-child

Families pay by card, Apple Pay, Google Pay or digital SEPA. If a family has two swimmers in different groups, a single card charges both fees, one invoice groups them with a breakdown, and the sibling discount applies if configured. Recurring billing with automatic retries when a card fails.

Communication and call-ups

Each group has its channel where the coach sends notices and session plans, and from the competition section you send call-ups to meets, championships or open-water swims by category. Messages arrive by push and email with read confirmation. Pool-closure notices reach everyone instantly.
