Definition
The monthly fee is the periodic payment a member or family makes during the season to participate in the club's activity. Typically covers: weekly training, federated matches, facility use, training materials, internal communications and included services (video analysis, stats, app, etc.).
Defined in the internal rules: amount per category, billing frequency (monthly, quarterly, annual), charge dates, how many months are billed (10, 11 or 12), sibling and early-pay discounts, and mid-season withdrawal procedure. The fee is VAT-exempt if the activity fits art. 20 LIVA.
When does it apply?
Applies throughout the club's active season. Most clubs bill 10-11 months (Sep/Oct to Jun/Jul); few bill 12 because July-August usually have no regular activity. The most common collection method is SEPA direct debit, although modern clubs also integrate card payments via Stripe.
Practical example
Common mistakes
- Not clarifying how many months are billed: 'monthly fee' is ambiguous without specifying the count.
- Forgetting sibling discounts: a habitual policy and very expected by families.
- Mixing fee with optional extras (summer camp, extra kit): better invoice these as separate items.
- Not prorating mid-month enrolment: charging full month for someone joining on the 20th is unfair.
